Have an alias that you would like to use from time to time, but not always, as your sending address? Below are the steps to use a sending only POP account in Outlook that will allow you to use the account option when creating a new message.
It is important to note, do not send and receive with this account until you have shut off receiving in the Send/Receive settings. If you do, it is possible to duplicate your mailbox.
1. Create the pop account in Outlook.
A. In Outlook click on Tools > Account Settings:
B. Click on New...
C. Select Microsoft Exchange, Pop3, Imap, or HTTP and click next:
D. In Outlook 2007 it will try to Automatically configure your email account. Deny this functionality by clicking on the check box at the bottom "Manually configure server settings or additional server types"
E. Select Internet E-mail (The option for Pop accounts):
F. Our Exchange 2003 users will use the following settings to set up their account:
Notes:
Your Name: This is cosmetic, it will show this in the account drop-down menu in a new email message.
Email Address: This will be the alias email address.
Mail Servers: Replace the exg# with your server island. It will either be exg3 or exg4
User Name: This will be the information you enter into the web portal to access Outlook Web Access.
Password: Leave this blank, you can save the password after your first send and receive. (Another step to ensure we don't download and duplicate the mail)
Exchange 2007 clients:
The same as above with the following exceptions:
Outgoing mail server (SMTP): With the 2007 server island our new outgoing server is called smtp.exg5.exghost.com:
(NOTE: outgoing server should be exg3.exghost.com. Do not use smtp.exg4.exghost.com)
G. Click on More Settings... once in the Internet E-mail Settings window select Outgoing Server
Select "My Outgoing server (SMTP) Requires authentication":
H. Click on the Advanced Tab and change the Outgoing server (SMTP) port to 2525
Also, I have selected "Leave a copy of messages on the server" as a precaution. If you do accidentally hit send and receive before shutting off the receiving for the pop account it will not delete the data from the server.
Note: For 2007 clients there is one additional step here...
Our Exchange 2007 (exg5) users will need to change the encrypted connection to TLS as shown here:
Save all of these settings and navigate back to the main Outlook window.
2. Turn of receiving for the new Pop account to avoid duplications.
A. In Outlook go to Tools > Send/Receive > Send/Receive Settings > Define Send/Receive Groups... (Ctrl + Alt + S):
B. Once in the Send/Receive Groups select All Accounts and click Edit:
C. Select the Alias account from the left hand side and deselect "Receive mail items"
Save this and you are done configuring the send only alias account.
To take advantage of this account go to create a new email message and click on the Accounts button that is now available underneath send:
Click on the Account button and select the Alias Account:
After that is done, a banner should appear stating this will be sent via Alias Account name.
